Using VIU Online Rooms
![]() | As of March 17, 2020, all VIU employees can create their own Zoom account by going to Zoom and logging in with their VIU credentials. All newly created accounts will automatically be given a Licensed (formerly called Pro) account. This page is designed to give you an overview of the tools and features in VIU Online Rooms (powered by Zoom). Click on the sections below to view short overview videos for many of the features available in Zoom as well as links to additional supports for participants and hosts. |

Getting Started
In order to schedule a meeting in VIUOnline Rooms you will need an account. You can claim your VIUOnline Rooms account by going to https://viu.zoom.us and logging in with your VIU Employee Computer Account.
Zoom Accounts are only required to schedule a meeting. This means that students or other meeting invitees do not need an account to join. Watch the Participant Tools video to learn more about inviting people to your meeting.

Local Recordings
VIUOnline Rooms has enabled the “local” recording option to save a recorded meeting or class to your computer (check your account settings and Recordings Location to ensure it is saving to a location you can easily locate e.g., desktop). Ensure that your recordings are not defaulting to a VIU network location (like your U drive). Once a recording is saved to your computer, it needs time to process and finalize and then you can upload it to VIUTube and give your participants the URL for future access (or for those not present to watch).
VIUTube is hosted by UBC in Vancouver and complies with BC privacy laws. Participant names will appear in the recording. Therefore, due to FIPPA considerations, we recommend that you have participants use only their first name when they are in a meeting. We also recommend that you use vague names when creating a meeting. For example, Live Class is preferred to English 101 Fall 2018.
Sharing Recordings
Once you have saved your recording you can share it with others by uploading it to VIUTube. This page contains resources that will walk you through this process.

Closed Captioning
Closed captioning allows you or another meeting attendee, assigned by the host, to add closed captioning in a meeting. In a webinar, closed captioning can be typed by the host, co-host, or a panelist assigned by the host. You can type the closed captions directly via Zoom or you can integrate a third party service.
