Creating an Assignment Submission Folder

Submission Options

When you create a submission folder there are submission options available at the bottom of the Properties tab (you may need to select Show Submission Options to see them). Submission options give you a lot of control over how your students submit to the submission folder, but it is suggested that you tell students in the instructions what the options are.

Files allowed per submission - You have very limited choices. Either the students can only submit one file, or they can submit unlimited files.

Submissions- You can choose to keep everything a student submits, only the most recent item they submitted or only allow them to have one submission. There are different reasons to choose each option. Please use your judgement on what option is best for your assignment. If you choose to limit to only one submission, be sure to tell students in the instructions, so they do not accidentally upload the wrong file.

Restrictions

You can add date restrictions to your submission folders. You can also add release conditions and special access.

Here are a few quick tips on understanding date restrictions:

  • Start Dates control whether or not a student can access a submission folder
    • If you assign a start date, students will not be able to access the submission folder until after the start date has passed
    • If you do not assign a start date, the submission folder will be "always available", unless you also assign an end date.
  • Due Dates control whether or not a student submission is flagged as late
    • You are not required to have a due date on a submission folder.
    • A student can submit to a submission folder before or after the due date.
    • If a student submits after the due date, their submission will be flagged as late.
  • End Dates control whether or not a student can access a submission folder
    • If you assign an end date, students will not be able to access or submit to a submission folder once the end date passes.
    • If you do not assign an end date, the submission folder will be "always available".

Special Access

Special Access allows you to customize access to a tool. It is most often used when students require special accommodations, such as additional time. It can also be used to give specific students a different due date then the rest of the class, such as in cases of illness.

Special Access is available under the Restrictions tab of the Assignment editing screen. If you cannot find it, please contact us.

You can either allow certain users to have Special Access, or you can only allow users with Special Access to access the tool. The first option is best used in cases of accommodation or altered due dates. The second option is best used in the case of bonus or remedial assignments.

  1. Once you access the editing screen of the submission folder, click the Add Users to Special Access button on the Restrictions tab
  2. You will be taken to another screen.
  3. If you are going to assign the same Special Access options to multiple students, for instance if there was a specific date to make up missed assignments, make sure to adjust your view under Users so you can see all students before adjusting the settings. If you navigate to the next page of students without saving, you will lose all of your settings.
  4. Adjust your settings as appropriate and use the boxes to the left of the student names to check off those that need Special Access. When you are done, choose Save.
  5. Once you have created special access, you will see the student(s) name(s) appear under Special Access with a summary of their settings. You can Edit or Delete the Special access using the icons.
  6. Make sure to Save or Save and Close the editing screen.

You will also see a small key icon appear on your submission folder list indicating you have added special access to that submission folder.

Adding Assignment Submission Folders to Content

The final step for creating and using a submission folder is to add it to your course content. This will make it easy for students to locate it. To add a submission folder to your course content:

  1. Create your submission folder in the tool area (Assessment & Evaluation and Assignments)
  2. Choose Content to navigate to your Table of Contents
  3. Select the module or sub-module that you want the submission folder to be located in
  4. Use the grey Existing Activities button to choose Assignments
  5. Select your submission folder from the list by clicking directly on it
  6. The submission folder will appear at the bottom of the module or sub-module
  • All submission folders add to content in Draft mode. Make sure to change the the folder from Draft to Published if you want students to access it right away
  • You can move your submission folder the same way you can move Topics.
